We have an exciting opportunity for someone enthusiastic and charismatic to join our expanding team at Head Office. We’re looking for a receptionist/ administrator to provide a professional, efficient and welcoming reception service which will include:
• Answering incoming telephone calls and routing them to the correct person
• Meeting and greeting visitors
• Dealing with incoming and outgoing post
• Taking accurate messages and delivering to the correct person
• Booking of meeting rooms and arranging lunches as required
• Travel, hotel and hire car bookings for UK staff and other visitors
• Administration duties to assist business areas with high work load
• Monitoring and distribution of Company general email and fax enquiries and distribution for correct action
• Recording of time sheet submission for all staff and following up where necessary
• Providing reports/statistics for Management using data from Excel spreadsheets
• General support for Finance team
• Maintain security by following procedures for staff and visitors
• Ensure safe and clean reception area at all times
• Other administrative duties as required
To stand out from the crowd you’ll need to be able to demonstrate:
• Experience of reception duties and working with switchboard system
• Efficient, self-motivated with good organizational skills
• Friendly, polite and welcoming
• Able to deal with clients and customers
• Good computer skills, particularly Outlook, Word and Excel
• Excellent communication skills, both written and spoken
